The thing we love the most, getting people together for an unforgettable experience is unfortunately not advised with the current pandemic in effect across the world. The global event industry is facing a series of unfortunate events, but it won’t stop event organizers from dealing with this last-minute crisis like they always do. Being in the event ticketing industry for decades, we’ve witnessed our event presenters brave it out in unfavorable situations and this is no different. We hope everyone is taking precautionary measures given by the WHO to deal with COVID-19. Click here to learn more about them.

We’re sure that you had to make some hard decisions with the worst-case scenario being event cancellations. However, instead of straight-up canceling your events, you could postpone them for a future date and follow these tips to keep all your guests, sponsors, and production team updated.

1. Plan Your Communication

Before making your announcements public, it’s crucial to have your event marketer study the health regulations laid down by your country and local regulatory bodies. Once you have all that in place, you can go ahead and frame a step-by-step communications plan for your vendors, sponsors, venue-owners, and guests.

2. Inform Your Venue Owners

Inform your venue owners if you’re postponing or canceling your event and get a refund amount for your booking. Chances are that they might bump you up the list for your next event once all of this blows over safely.

3. Postpone Your Event

It might be with a heavy heart that you might have to postpone your event to ensure the safety of your community. But trust us when we say that, postponing your event is in everyone’s best interest given the conditions. Event presenters using our platform can do so without losing out on their event investments. Learn more about postponing your events, refunding tickets, and precautionary measures to be taken.

4. Send Updates To Your Guests and Speakers

Once you’ve decided to postpone or cancel your event, communicate effectively with your guests, speakers, artist booking agencies, and vendors about your event. Apart from posting on your social media and website, send them a personal message through an email using our Mailchimp integration. Remember that our platform is still fully functional.

5. Setup Ground Rules For Your Next Event

Take this time out to regroup safely with your family and friends. Follow those precautionary measures and reflect on how you can improve your future events. It’s absolutely imperative that we collectively plan better for the event community by adhering to strict standards of hygiene. Set up ground rules that you would follow with your team members and audience for an unforgettable event experience.

Remember that we as a community are in this together and will bounce back stronger than ever before. In the meantime, we wish you and yours, all the good health and strength to come out stronger.

Event management is not only about planning and organizing events. It’s about working in synergy with your team members to create a perfectly planned event experience. Being in the event ticketing industry for decades, we’ve been observing event trends for a long time. A general pattern among event planners who delegate their tasks equally has quicker turnaround times than those who don’t. And quicker turnaround times mean more attention to detail and faster revenue generation. Now which event manager doesn’t want that?

Our user management feature has been creating a smooth workflow between different teams, no matter large or small. Here’s a quick takeaway on working smoothly with a team for your event campaign.

Assigning Speciality Driven Roles & Permissions

When you assign roles to each of your team members, even a ten-member team can function as an army of 300. This is because you’re passing ownership and a specialty driven role to your team members.

On our event ticketing system, you can assign roles based on their expertise such as:

  • Owner
  • Admin
  • Marketing Managers
  • SEO Specialists
  • Box Office Management
  • Sales Rep
  • Event Presenters
  • On-Ground Staff
  • Accountants & Cashiers

Assigning them specialty driven roles they are good at ensures the integrity and success of your event campaign.

4.jfif

With this feature, you can also protect sensitive data by providing access only to the information a particular team member will need. Only the account owner can add users to your Yapsody account and assign them different permission so that some can manage the box office ticketing, while some scanning and some others can manage the reporting.

6.jfif

It’s a no brainer that limiting your team member’s navigation on the system guarantees a focused approach to get things done faster, hence, creating a smoother workflow for your event success.

Attending a pub crawl or bar hopping with your friends and colleagues can be one of those nights that can be absolutely legendary or downright chaotic. No matter what the outcome, the journey and a trail of drunken Instagram stories are what matters. And for someone who’s planning a soul-stirring pub crawl, it’s essential to get the basics right. Especially when the agenda of the event is organized drinking. Period.

If you’re an event planner, pub owner, or a hospitality enterprise here’s how you can plan smart, manage it closely, and expect the unexpected.

1. Choose Your Venues and Routes

Choose your pubs and bars carefully and give their venue owner a heads-up in advance. You’d want pubs that have a cult-like following and have a great space to accommodate your group. Pro tip – your first and last pub should have great food. You need to plan for food early on and when the crawl is coming to an end.

2. Establish Your Party Size and Duration

Pub crawls are best suited for smaller groups of 10-15 people that are easily manageable. Don’t try to go for an all-nighter if amateurs are involved. A 4-5 hours pub crawl should be good enough to avoid letting people burn out faster.

3. Find A Sponsor

If you’re a pub owner, you can connect with one of the major alcohol brands to sponsor your pub crawls. If not that, as an event presenter you can pitch to companies that offer on-demand pick up and drops for all your crawlers. It’s always a great idea to partner with a sponsor that elevates your event marketing efforts.

4. Set The Expectations Straight

Once you’ve figured out all the finer details, it’s important to set a few ground rules in place. It’s important to communicate details such as ticket prices, meeting points, emergency contacts, rules, venues, dress codes prior to your event day.

5. Create a Theme

Themes are a great way to create uniformity in your event but not necessary. Set your expectations early when you set up your events on our event ticketing platform. With our Online Ticket Store, customize the look and feel of what your pub crawl theme is about to be. Thirsty Thursdays, anyone?

6. Set Up Access Codes

Pub crawls are events which are very exclusive and involves a close-knit group of people. However, you may have super-busy attendees who might not turn up to the crawl until the group reaches the third pub. Create ease of entry for them by creating an invite-only entry. So, no matter how late they turn up, with our Access Codes feature you make them feel like a VIP.

7. When the Spirits Start To Soar

Let’s admit it. After a few shots and pints, emotions start flying all over the place and the vibes can get heated. Some might want to sit at the counter and order the bartender to whip up another margarita. It’s in these moments that you need to figure out if you need to step in or let them be for a few more minutes. Have a schedule but be flexible. As long as they handle themselves well, you’re good.

8. Don’t Forget to Eat

A no-brainer really. Don’t forget to eat before you drink and don’t forget to make your event attendees eat a good dinner at the end of your pub crawl. Provided that they haven’t been mixing their liquor, food will keep them steady and finish the pub crawl successfully.

9. Hashtag your Crawl

Chances are that people in your pub crawl will get blackout drunk and not have single memory of it. You should market the whole event by creating an event hashtag that your patrons can leverage to document their shots and moments. For a generation that lives for nights they can’t remember, social media always comes to the rescue.

Our event ticketing platform is preferred by pub owners and event presenters worldwide for creating amazing pub events and selling it’s tickets online. Just in case you needed another reason to SIGN UP with Yapsody.

Organizing events and selling tickets manually has been your forte. But this time you decided to be a little more efficient and look for an event management software that’ll save you time and money. With multiple companies offering you event management solutions and software, you’re confused. One thing that can help you decide on the best event management software is its features. Here are the top 10 features we think is a must-have for every event management software.

Virtual Box Office

With multiple activities to handle while organizing an event, time is what you need. For example, this holiday season if you’ve planned 10 events, you wouldn’t want to create each event from scratch. This must-have feature helps you save a whole lot of time. We call it “The Virtual Box Office”. It gives you single-click access to the event wizard, real-time sales analytics, reporting, inventory management and a lot more. Are you wondering how does it save time? It has a performance customization feature that lets you create multiple events in no time. Using this feature, you can simply copy your existing event and make changes to it.

Online Ticket Store

Does your event management software offer you a platform to showcase your events? Another feature you must consider is the online ticket store which is also referred to as the events page. This store lets you display all your events in a single page.

The online ticket store is like the stage of a theater, it’s the most happening drama everyone wants to see. It’s where your attendees can see the event details like the date, artist information, and address of the venue. When you promote your event online, they are directed to the online store to purchase tickets. With Yapsody’s event management software, you can customize your store the way you like it. You can add your brand logo, colors, images of your artists and external links to your social media pages. You can also geo-tag your events so your attendees know how to get to the venue.

Multiple Payment Gateway

When you deal with your attendees’ hard-earned money, you can’t take a risk. Payment gateways are a secure way of collecting payments. When an attendee buys a ticket, these systems authorize payments from the attendee’s account directly to your bank account.

While most event ticketing companies may have limited payment gateway options, our event management software offers multiple choices to you. Our popular payment gateways include Stripe, Braintree, PayPal, WePay and many others for close to 60 countries across the globe. That way, you receive the money from the ticket sales directly to your bank account.

Multi-language Support

As an event manager, you don’t want the language to be a barrier between you and your audience. An event management software with multi-language support gives you an upper edge as compared to your competitors.

Whether you’re in France, Spain or Germany, our event management software lets you create your event in your native language. Our software supports 15 prominent languages so you can connect with your attendees easily without a communication barrier. Apart from language, we also support 170+ currencies across the globe. Do you want to check if your currency is supported? Click here to find out.

Seating Arrangement Options

Attendees look for convenience, especially in the world of digitalization wherein most attendees want to reserve their seats or buy general admission tickets in advance. The seating arrangement feature not only offers convenience but also lets the attendees pick their preferred seat from anywhere and anytime.

Be it a club event or tech conference, using our event management software, you can recreate your venue with our interactive seating plan creator. That way, there’s no war before the event and you don’t have to be the bouncer to stop the ‘seat fight’.

Event Marketing

As an expert event manager, you’d definitely agree that marketing can change the entire ticket selling game. Event marketing as a feature can help you easily promote your event on different social media sites and help you reach out to a wider audience.

We at Yapsody incorporated this golden feature in our event software management software so you don’t have to approach any event marketing agency to do the job for you. All you need to do is create your event and you can directly promote it on multiple popular social media profiles. Alternatively, once you’re with Yapsody, we promote your events for free. This is how we do it: We

Ticket Customization

It’s the holiday season, you’ll have themed parties, Halloween nights or Christmas dinner. With the ticket customization feature, you can set yourself apart. With this feature, you can create themed tickets depending on your event theme. For example, you’re organizing an event this Halloween. Your theme is witches and wizards. You can design your ticket with a smoky cauldron and a witch on the broom flying to the village. Add the event details and your ticket is ready.

Our event management software offers the  ‘Ticket Customization’ feature so you can customize and create your own branded ticket with the theme you’ve planned for the event.

Accept Donations

One of the best features a top event management software must-have is the ‘Accept Donations’ feature. While this may not be applicable to all event managers, nonprofit organizations are sure to fall in love with it.

Our event management software lets you add the accept donation feature on the online ticket store. When your attendees buy tickets for your charity or a fundraiser event, they get a direct option to donate for a cause with Yapsody’s donation feature. Not just that, Yapsody also contributes to your cause by giving you a special offer. Any event you organize, you get a 50% rebate on your event ticketing fees. Now that’s what an incredible offer looks like.

It’s almost Halloween! While the world gets ready to adorn vampire outfits, carve out pumpkin faces and spook the crap out of each other, we’re reminded of somebody who cannot be spooked anymore – because his life itself is a nightmare. We’re looking at you, event managers.

At the time of making this career choice, you probably pictured yourself bowing on stage at the end of the show, in front of three thousand spectators, while they applaud the spectacular show you or your enterprise put on. In reality, well, it happens more often in your dream.

Here’s presenting an event presenter’s 8 worst nightmares.

1. Never Ending Queues: You’ve managed to get a Hollywood A-lister to perform in your city and you just announced you’re selling tickets outside the venue gates on the coming Friday night. Next thing you know, fans have already started to camp at the door so they can get hands on your tickets first. Sure, this is a great sign – you’re event is going to sell out for sure! But, do you really want to put your attendees through the experience of waiting in lines in the scorching heat, rubbing shoulders? More importantly, do you want to be sitting there all day selling tickets and disappoint fans towards the end of the line? We didn’t think so either.

What you need to do: Use Yapsody’s online event ticket store and let fans skip the queue. Sell tickets online without having to deal with any person. People wanting to buy your tickets can check the number of seats remaining in real time, so you won’t leave anyone disappointed.

A Presenter's Worst Nightmare #1

2. High Ticketing Fees: You’ve decided to take the smarter way out and sell tickets online instead. But now you browse through multiple websites and come across the most ridiculous thing you’ve ever seen – ‘$2 fee for every ticket sold.’ Your tickets only cost $8! The event management spirits welcome you into nightmare number 2 – the one where they rain fire all over your finances.

What you need to do: With Yapsody, you have two solutions. Yapsody’s ticketing fee is extremely low, you wouldn’t mind paying it. In the case that you do, you have the option to pass on the ticketing fee to your ticket purchaser. Again, it’s so low, they won’t mind paying either. Additionally, we’re also running Holiday Season deals so you can avail another 25% off on your ticketing fees.

A Presenter's Worst Nightmare #3

3. Unsupportive Customer Support: A nightmare common to humans of all the segments of demographics – poor customer support is something we all dread. Having to deal with a higher number of stakeholders than other people, event presenters have it the worst. While you strive to give your attendees the best experience during, before and after the event, you need your stakeholders to cooperate with you. If they don’t, your nightmare also becomes your attendees nightmare (we’re talking late refunds.)

What you need to do: Use a ticketing system you know provides the best-in-class support. Customer support is our USP – we are literally available 24/7. Each presenter that has shared their experience with Yapsody has ONLY good things to say about our customer support. Whether it’s your ticket purchaser or yourself, reach out to Yapsody for a query (in our capacity) and we’ll happily provide you with just the resolution you need.

4. Bouncer Brawls: This one’s a popular nightmare. We’ve seen it in the movies and in person – somebody conveniently “forgets” to bring a ticket they never purchased and walks in with a face like they obviously have a ticket. The usher stops them to check the ticket and, well, you know the drill. While one fake attendee is detected, there may be 10 that go unnoticed.

What you need to do: Don’t let this happen, obviously. Using Yapsody’s online ticketing system, you get access a mobile application called YapScan that lets you scan your attendee’s tickets. Validate tickets quicker and identify fake tickets in an instant.

A Presenter's Worst Nightmare #2

5. Empty Seats: This one’s the greatest of all nightmares. While most of the other issues generally pop up when the sales numbers are too high and there is too much to deal with, this one is a sign of an unsuccessful event – a nightmare than can make the presenter question his career choice. The unfortunate incident often happens because the event wasn’t promoted using the right techniques and at the right time.

What you need to do: Yapsody’s online ticketing system is integrated with all the promotional tools you’ll need to publicize your event far and wide, or to the designated area of your choice. Our MailChimp integration, SEO tools, social media sharing tools, and campaign tracking ability using Google Analytics and Facebook Pixel will help boost your ticket sales. If marketing is not your forte, leave it to us! We’ll list your event as a premium listing and publish your event on our social media platforms that you can simply share with a click.

A Presenter's Worst Nightmare #4

6. Seating Confusion – How often have you found yourself acting like an intermediary between two people fighting for a seat? We’re guessing, plenty. When you sell tickets to a general admission event, giving attendees seats on a first come first serve basis, you make yourself vulnerable to complaints about attendees reserving seats by placing their shopping bags or popcorn on it. Yes, this is a nightmare you want to avoid at all costs.

What you need to do: When there is a possibility of the above mentioned actions to occur, always go for a reserved seating system. Yapsody’s online ticketing system gives you the ability to sell reserved seat tickets, so attendees wanting to save the best seat in the house can do so without fighting for it and involving you in it.

7. Currency Not Supported: Is your local currency not as popular as the US Dollar? Do you find yourself looking up uber cool softwares you’d want to try but shut the tabs soon after you read a little note at the bottom saying ‘Accepts US Dollars only’? This one nightmare almost makes you upset about where you’re located and collecting payments online becomes close to impossible. Without collecting payments in advance, you take the risk of paying other event stakeholders from your own pockets, without  any estimate of how many people will actually purchase your tickets – truly a nightmare!

What you need to do: Leave this one to us. Yapsody supports 150+ currencies from around the world, so you can collect payments, no matter where you’re located. Relax, we’ve got you covered.

A Presenter's Worst Nightmare #5

8. Oh-So-Basic Tickets: Let’s assume you’re hosting a Princess themed party for the little girls in your community. You’re selling tickets to an event the girls are looking forward to. The parent hands over the ticket to the highly enthusiastic child and they have a look at it but are not as excited as they should be. Why must that be? Take a guess – your tickets looked as if they were passes to a conference about ‘how to deal with finances’ – white, black and boring fonts. While this is not a dealbreaker, your tickets can make or break a ticket buyers perception about your event.

What you need to do: Make use of Yapsody’s ticket customization feature. Whether you’re hosting a professional conference on leadership or a kid’s party, customize your ticket to set the tone for your event and get your attendees eager to attend it.

It takes plenty to put on a successful show, a superhero ability of sorts. While things may have gone haywire the last time you organized an event, know that there are always solutions – whether it is in the form of humans or softwares to make sure you have it in control the next time you present a show. At Yapsody, we’ve fit our system with every possible feature to make sure nothing goes wrong at your event and you never have to have a nightmare again. Go on, sign up with Yapsody and see your nightmare switch to a daydream turned reality.

If you’ve been a part of event management and casino event marketing for a while now, you would know that the success and the failure of any event are based on the publicity it gets, and how popular it is. Obviously, a popular event that attracts a large number of people is more successful than one that comes and disappears without a trace. Now if you think about it, the popularity of your event is closely related to how many times your event gets shared. When we’re talking of sharing events, we’re talking about your customers promoting the event, word of mouth advertising, posting about it on social media and so on. But if you’ve ever observed closely, you’ll see that some events get shared more than others. Strange, isn’t it?

But that’s the harsh truth about casino event promotion. And we all know that unless your event gets shared multiple times, online ticket selling is going to take a hit. Here are a few reasons why some events become more popular than others-

1) Emotion: How does your event affect your audience?

One of the key factors that determine the success of any casino event would have to be the emotive factor. How does your event appeal to the audience? How does it affect them? Are they being indifferent to it? Or does it strike a chord in their heart? If you appeal to the audience on a deeper level, you’re likely to get more shares because audiences are constantly looking for something that makes them feel. This is more in case of charity events. If you make your promotions more powerful and impactful, it will tug at their emotions. This is definitely one of the reasons why some casino events go viral while others don’t.

2) Descriptive Titles: Giving your customers a clear idea

Think about it, if you’re reading something on social media, wouldn’t you rather click on something that has a descriptive title? The same goes for events. If they have longer and more elaborate titles, audiences are going to be sharing it more. That is because one look at the title would give the audience a clear idea of what the event is all about. They wouldn’t have to read the additional content of the event to know more. Remember this, customers hate cryptic titles. Naturally, you should keep your titles simple, straightforward and long- at least 10 words.

3) Pictures: The latest fad in social media

If you’re part of social media, haven’t you ever noticed how pictures are shared more than text? Well, that’s because no one wants to read paragraphs of long text. However, they would rather share large, vibrant and expressive images. In social sharing, statistics show that images are shared twice as much as a text. That is precisely why you need to get some fabulous images and make the most of graphics designing technology, now at your fingertips, to help you get the most appealing designs.

The ticket sales of your casino event would depend on the number of times your event is being shared since that means it is reaching out to a maximum number of people. With more and more people finding out about it, your event promotion and ticket sales would see a rise. If your casino events haven’t received many shares in the past, you must have been missing out on these three important aspects of event promotion. But that’s okay, the next time you plan an event you could keep the above in mind.

What is a good event all about? Why, putting up a fantastic show, of course! The phrase, “well planned event” usually refers to an event which leaves a lasting impression on the minds of the audience. Organizing a trade show is all about exhibitions, about going all out without holding anything back. Consequently, exhibition marketing is emerging as a popular field which helps event managers across the world catapult their event to success. An integral part of this is crafting an engagement plan. Now let’s take a look at why you should create an engagement plan.

A Smart Promotional Activity

As event managers, what is the one thing that is constantly plaguing you? Building a brand image, without a doubt. In this highly competitive business, you need to put your best foot forward when it comes to making a name for yourself. An engagement plan will simultaneously help you build your brand even before your trade show starts. A fabulous engagement plan will make audiences and guarantee an experience that they’ll not forget anytime soon. Make use of all the resources in hand for promotional activity, like social media and other forms of advertising like content marketing. “Cool” is the way to go, if you want to promote your event to younger audiences.

A Treat For The Eyes!

An important part of audience engagement is giving them a show that is visually appealing. Think about it, would you attend an event which appears to be boring or shabby? The answer is no. The aesthetics of event management lies in the use of props, plays et cetera for visual appeal. You want to make a statement, then you’re free to do so by all means. But you need to make sure it is eye catching enough to draw customers with a short attention span.

What Looks Good, Is Good!

Customer engagement at a trade show is about how you make the audience feel. Do you make them feel good? Can you captivate their attention? Or do you make them feel disinterested and bored? Drawing an engagement plan is all about delving deep into the psyche of the attendees. You need to put yourself in their shoes, and think from their point of view. It is an undisputable fact that customer experience is an important part of event management.

Are you now convinced about the countless benefits of engagement plans? Well now that you know, you’re ready to organize your own trade show, with a stunning engagement plan that can make your event a grand success.

Event management can get tricky with so many variables coming into play in a single equation. Top that up with the usual fears and anxiety that give event managers sleepless nights.

However, all hope is never lost and by following some simple yet sure to work tips, you can steer any event towards success.

1. Do Your Homework

In the world of event management, knowledge truly is power. In Competing on Analytics, which appeared in the Harvard Business Review, Thomas H. Davenport presents analytics competition as the future of business. It goes a long way to collect data from events you or others around you might have organised in the recent past.

By analysing the successes and failures faced in relation to the dates on which the events were scheduled, you can narrow down the probability to a date that is likely to guarantee a successful event.

2. Personalise the Event Date

In a B2C setting it is necessary to think ‘people’. No matter how good you think your event is going to be, if people are not in the mood on your chosen date, you are doomed. Which is why, it is necessary to personalize your event according to the mood of the masses.

In the US holidays such as Christmas, the 4th of July, major baseball or soccer events are all bad choices since people would rather hang out with family and friends and make barbecue that take the trouble to attend your event. So, in all cases you must try to feel the public pulse before coming up with a date.

Additionally it can do your company a world of good if you can schedule an event on a day that is special to your business such as an anniversary of the establishment of your company, the birthday of the founder or the day a big merger took place.

3. Chose a Date that Matches the Event’s Focus

It is usually a good idea to take advantage of International days dedicated to the central focus of your event. For instance if your event is about women entrepreneurs, International Women’s Day would be a great choice. Just look for a date that resonates with the theme and focus of your event and you will be sure to gather audience.

4. Do a Quick SWOT Analysis

Now this is a sure-fire technique that is bound to work. Once you have come up with a number of probable dates for your event, make Strengths, Weaknesses, Opportunities and Threats table. So what you do is you quickly analyse each parameter for the days you have in mind.

All the days that present threats and would weaken the events success rate are automatically eliminated while the day that seems to have the greatest strengths and presents maximum opportunities for the event’s success wins.

Yes, it can be as straightforward as playing tic-tac-toe. All you have to do is get your hands on some data, analyse it, come up with some dates, feel the public mood and do a quick SWOT analysis, and there you have the perfect date.

An event manager is, in a way, paid to come up with creative ideas. There’s a saying that you don’t become an event manager, you are actually born one. Well, that’s true. Event managers are expected to spout off spectacular ideas in the spur of the moment. But let’s face it, Creativity seems to have a mind of its own. More often than not, you will find event managers stuck in a rut because they’re unable to come up with new and original ideas for the events. But there is something you can do, after all, your reputation as an event manager is at stake. Practice makes perfect, and you can follow these tips if you feel you need to hone your creative skills the next time you plan an event.

Originality Is Always Preferred

Creative events are original events. It is as simple as that. You cannot copy an idea that was executed a few years ago and expect to get away with it. Audiences have a sharp memory when it comes to good events. You need to think of original events, something which hasn’t been done before, something which will shock and amuse the audience. There is nothing better than the look on their faces when you do the unexpected!

Visualizing Is Key

An important part of event analysis is visualizing. If you’ve got an original plan in mind, congratulations. Now before you implement it, you need to visualize and try to picture what you want your event to look like. A glimpse at the bigger picture would help you organize your event better. Imagine all possible scenarios in your head, take into consideration the “how” and the “what if’s”. Make sure you’re ready for what may come.

Cultivating Creativity

Now you might argue that creativity is an innate quality, but you couldn’t be more wrong. There are ways how you can cultivate creativity. Read a good book for inspiration. Listen to your favorite songs. We all have that particular song in our playlist which uplifts our mood when we’re feeling down. You never know when inspiration strikes, do you? Read up on all the greatest ideas by event gods. Brainstorming this way will not only give you the idea you need but also help you understand that even the people, who are great today, were once stuck, just like you.

Fix Yourself to Boundaries

Now, this might seem a bit out of the ordinary, but hey, you need to think out of the box, don’t you? Most people function well when margins are set for them. Because then they are forced to work with what they have. That is usually when creativity strikes. In fact, some of the most well-known event professionals believe in this strange but useful tactic. Limit yourself, test your patience and rack your brains. That is the best way to come up with amazing and innovative ideas.

Good event management is all about originality and creativity. These small but useful tips might help spark your imagination and help you come up with a landmark idea. Isn’t that how all great men are born, anyway?

Because there are a lot of people out there who’ll show you the way to a good event, but in this ultra-competitive era, where every event presenter is pushing his limits to ensure that he hosts a SOLD OUT show, do you think being good is good enough? Or do you need something better, something really great, for that matter?

First and foremost, if you think that as an event planner, it lies in your hands and yours only to lead your event into the realms of greatness, you are wrong at your very first step into the path. Of course, your skills and qualities matter, but what matters more than anything else is your ability to bind your team together and use their skills and qualities in an optimal manner. You need to understand that only pushing your limits won’t work if your team isn’t looking forward to giving a more-than-average performance.

So how do you accomplish this? It’s actually simple – by following the following!

CHANGE IS CONSTANT

Old is Gold, no doubt, but what if the world today needs Platinum? With so many technological advancements happening in every sphere of life, Event Management hasn’t been deprived of this evolution. As an event presenter, you have to take conscious efforts to stay in this tech-loop, be aware of everything that’s new so that A, you are able to host your event efficiently and B, you appeal to this generation easily.

But, changes come with challenges, and there will be times when you might feel the urge to shun these new measures and stick to the older ways. Or, you embracing these changes readily might lead to conflicts within your team who might not be finding it comfortable to move so fast along with time. You have to be patient and accept these challenges by keeping an open mind. Don’t fear criticism and appreciate advices and opinions, because this will help you build relationships in the industry (which is absolutely vital for event organizers to flourish) and you’ll be practically getting ideas handed out to you on a silver plate.

MAGIC HAPPENS OUTSIDE YOUR COMFORT ZONE

I’ve come across this picture a little too many times and, being the firm believer in magic that I am, this has always left me in awe and since it supports my point, I’d love sharing it with you.

Where the Magic Happens - Your Comfort Zone

Where the Magic Happens – Your Comfort Zone

In a nutshell, if you really want your event to turn out amazing, you HAVE to think out of the box and come up with something unconventional. People often mistake this part to be very difficult for someone as “normal” as them, but believe me, it’s actually not. All you have to do is look back at all the events you’ve created and attended and gather ideas from them. Peek into your own interests and those of your team members and colleagues to come up with something that’s unique and appealing. Incorporate funky themes that you and your potential audience might relate to – classic literature set in modern times, video games, TV shows, famous movies, and so on – into your booths and backdrops to create an everlasting effect on the minds of your attendees.

LOVE WHAT YOU DO

Event Management is certainly not a profession that one might choose under compulsion, so obviously, event presenters are doing what they love. But, do they love every part of what comes in the package of their profession?

Again, how your event turns out will largely depend on your team, so make sure that you appreciate their efforts and love them for all that they’re doing. When you select a team, see to it that they share your visions and goals, and their way of work is similar to yours, if not exactly the same. Your job is to keep them motivated so that they don’t give up when times get rough, which is not likely to happen if your team is strong. Basically, Love is the parent emotion. If you love your team, every other positive emotion will eventually follow and drive you and your team.

GIVE YOURSELF TIME

When you are always a part of the frenzy, things tend to get blurred at times and you might lose yourself. In order to hold on to your sanity, remind yourself to take a little break every day, no matter how busy your work keeps you. You can always find time to take a small step back and just relax, maybe go for a walk or enjoy a good meal with someone you love. Sometimes, in order to figure out where the pieces are falling apart, you need to see the picture from afar.

LEARN AND GROW

Organizing a great event is definitely not a piece of cake, and your team may have to go overboard with all the preparations and brainstorming. But, many a times, some things may not go as planned and you’ll find yourself and your team in a very low position. At that moment, you need to generate positive vibes and lift everyone up, and if you have an enthusiastic team, it’ll be easy for all of you to learn from your mistakes and grow out of it into something a lot bigger, and of course, greater.

No, no, no, I’m not going to give you the hashtags you should be using for promoting your event. I think I need to take a course on relevant blog titles, maybe someone has written a blog on it, too. Anyway, these hashtags I’m talking about will serve a secondary purpose – they’ll help you remember the six tips that are absolutely necessary to focus on for a successful event.

#DEFINE

Define your goals. Don’t be vague and restrict yourself to bullet points, for that matter, but make sure that whatever you wish to achieve through your event is listed out on a paper. Writing things down helps you figure out if you’re missing any essential information, and it is absolutely necessary for you to be clear about your goals if you want your target audience and sponsors to buy it.

#BUDGET

Prioritize it. Events that have a surplus budget are pretty unheard of, so you should always have money in mind. List out the essential tasks that have to be done and only after you’ve accomplished them, distribute the remaining budget amongst other less important tasks.

#EXPECT

Events have a quaint habit of going wrong, and even professionals sometimes get stuck in difficult situations. You might find yourself in a tough spot, struggling to save the event, but you need to keep cool and handle the situation in the way best known to you. Having a backup plan always works.

#INNOVATE

Those who are able to accomplish something are usually the ones who were ready to take risks to prove themselves. Replicating successful events isn’t going to get you anywhere. Sure, drawing inspiration is a totally different thing, but you should keep experimenting with new stuff to see what exactly gets to the audience and what doesn’t work out.

#THEME

Themes make it easier for people to remember an event. They make your event look like a signature one, and it definitely pumps enthusiasm amongst attendees.

#EXPERIENCE

If you don’t like it, don’t do it. Event management is something you have to put all your heart into; otherwise, it’s just not going to work, the reason being that it requires time, patience, and more patience. In order to keep yourself together and still go ahead with the event, you really have to love what you’re doing. The satisfaction of a successful event should turn you on more than a strip club would.

Amateur, professional, rookie, experienced – it doesn’t matter what your position is in the profession, this field is always going to offer you something new to learn. So, no matter how far into it you are, keep your mind open.
