No, no, no, I’m not going to give you the hashtags you should be using for promoting your event. I think I need to take a course on relevant blog titles, maybe someone has written a blog on it, too. Anyway, these hashtags I’m talking about will serve a secondary purpose – they’ll help you remember the six tips that are absolutely necessary to focus on for a successful event.

#DEFINE

Define your goals. Don’t be vague and restrict yourself to bullet points, for that matter, but make sure that whatever you wish to achieve through your event is listed out on a paper. Writing things down helps you figure out if you’re missing any essential information, and it is absolutely necessary for you to be clear about your goals if you want your target audience and sponsors to buy it.

#BUDGET

Prioritize it. Events that have a surplus budget are pretty unheard of, so you should always have money in mind. List out the essential tasks that have to be done and only after you’ve accomplished them, distribute the remaining budget amongst other less important tasks.

I may not be the queen of puns, but I’m sure that title caught your attention. Oh, wait, eight-tention! What’s with the eight, you ask? We figured that with Facebook, WhatsApp, and Twitter taking on the virtual world like hurricanes (but, in a lot nicer way), emails just look outdated. Yes, they just LOOK outdated, but they aren’t. If you can still manage to jam eyeballs onto your email notification with a crazy subject line, your pre-event email can nail it. And it can nail it way better than other social media websites can. We’ll show you eight ways to hammer that thing right in –

Number One: The Subject Predicament

When you have a lot of content in your emails, it is very difficult to come up with a crisp subject line because either you end up using jargon, or you just make it too long. Ideally, a crisp subject line should convey the content in less than eight words (it is NOT my favorite number #coincidence). Yapsody, for example, has a Translation Program that offers free access to premium features to users who help translate the online ticket store in their local language. While sending out emails about the same, “Relate, Translate, Rebate” would be a better option than “Get Involved In Our Translation Program And Get Free Premium Features”.

Number Two: Open Sesame!

Your opening paragraph should have three main points –

  1. Address them personally. There’s no better way to impress someone.
  2. Tell them about the event; just don’t throw it at their face. Show your excitement. For example, Seeing you at Tick-event this Friday, 21 August, 2015 would be so much fun!
  3. Don’t forget to mention the date so that they instantly add it to their calendars.

Number Three: The Rest

It’s an email, not a blog post. Make it short and crisp and get to the point at once instead of beating around the bush. Convey all important details of the event in a concise manner when it comes to the body of the email.

Number Four: How To Get There

Give details about the location and the venue. Include as many landmarks as you can and make sure you also provide a map. Now, map implies both of these things:

  1. Floor plan of the venue
  2. Google Map (with directions to the location)

Also, inform them about the public transport available, set up a Google doc for people who would want to share rides, and let them know about the parking scenes.

Number Five: What Is It ALL About

Of course, emails have to be concise. But, interested audience would still want to know about the entire agenda. So, include a link to your complete agenda in your email.

Number Six: WaaiiiFaaiii!!

Sue me if I’m the only person who gets excited when it comes to (free) WiFi. Sometimes, it’s even better than (free) food. Tell your attendees that the WiFi is going to be speedy and strong and that you’ve worked hard for it. Though, you’d want to mention that they could still use their data connections in case of issues.

Number Seven: #Hashtags

Ask them to use the event’s hashtag if they post any update/picture/video on any of the social media platforms. Hashtags are a great way to link attendees to your event personally and get their followers in your basket, too.

Number Eight: I’ll Be There For You…

… ‘cause you’re there for me, too!

Let them know you’re always there to help them out. Provide your customer support’s details (email, contact number, live chat) to give them a sense of reliability from your end.

Create a customized hashtag for your event and inject it into your event content wherever you post it. Be it a Twitter tweet, a Facebook page, a Tumblr blog, or a YouTube channel, you need to make your hashtag viral. Make sure your hashtag is sensible, witty and crisp because sometimes, hashtags can be a complete disaster. For instance, Susan Boyle’s album had a release party with the hashtag #susanalbumparty. ALL TEXT AND NO GRAPHICS MAKES YOUR POST A DULL GUY

When you draft a post or a tweet to promote your event, bear in mind that normal people who are struggling to keep up with the pace of life are going to be reading it. So, you need to make sure it is really catchy and not simply dry text. Put in pictures, videos of your previous events, or mash up quotes by some good speakers who’ve attended your event; integrate them into a delightful collage and put that up to grab their eyeballs. Don’t overdo it, though, or it’ll look too gaudy and you might simply come out as a desperate attention-seeker.

ONE-SIDED LOVE, OR PROMOTION, ONLY CAUSES PROBLEMS

Your communication with your target audience has to be more of a two-way thing. No matter how engaging your content is, merely watching and reading it will bore your people in no time. Make sure you put in a few contests, challenges, or other online interactive sessions so that your audience develops a stronger connection to your event. Also, tell the world about the feedback’s and reviews that people have given you, and the way you reply to all of them. This way, they’ll know you’re accountable and approachable.

KNOW THYSELF, THY FRIENDS, THE FRIENDS OF THY FRIENDS, AND EVERYONE ELSE

The essence of social media marketing lies in building a QUALITY NETWORK, that is, a network comprised of not just of a lot of people, but also renowned people who have their own throng of followers. When these people promote your event on their social platforms, your reach is magnified exponentially as large audiences are automatically notified of your event. This marketing strategy gives your promotion a great head start. Follow them up on LinkedIn, Facebook, Twitter and other social platforms; and every time they put up content regarding your event, make it a point to post comments from your end, too. This way, their followers can get a link to you directly.

Always remember, it’s a cycle between you and your audience: you need them, and they want your event. All you need is to consistently keep them informed about it and WHY exactly they need to be a part of it – in other words, keep watering that fruit tree!
